Weekly support theme report

Reads every support ticket from the week and writes one short report on what customers are really upset about. It helps you spot a repeat bug or gap that is easy to miss one ticket at a time.

SupportWorks with Zapier Agents · n8n+2Community example

What it does

  • Reads all tickets from the past week
  • Groups complaints by theme and counts them
  • Ranks themes by how often and how angry
  • Writes a one page Friday report

Your approval boundaries

Read only

Reads connected data. It does not send messages or change records.

More about this workflow

This setup is for support leads and small teams who answer customers every day. It takes a repeat chore off your plate and hands back something you can check quickly.

First, it reads all tickets from the past week. Next, it groups complaints by theme and counts them. Then it ranks themes by how often and how angry. Finally, it writes a one page Friday report. It works with your help desk and docs, each on its own login with limited access.

You get the finished work, ready to read. It only reads, so nothing is sent, changed or paid for. You decide what to do with it.

What you do on your own: - Reads all tickets from the past week - Groups complaints by theme and counts them - Ranks themes by how often and how angry - Writes a one page Friday report What you must never do without a yes from a person: - Anything that writes, sends, or spends. This job only reads. Rules: - Before any step on the list above, stop and ask. Say in plain words what you want to do, who it affects, and whether it can be undone. - If something cannot be undone, say so first, in one short line. - Write drafts, not final actions. A person sends, pays, posts, or deletes. - Keep a short log of every action you took and every source you read. - If you are unsure, ask instead of guessing.

Run your workflow

Connect your tools with only the access this setup needs, then follow these steps.

Steps

Do these in order. Test on old data before it touches live work.

  1. 1Connect Zendesk with its own login, not yours. Grant a limited agent seat that writes internal notes.
  2. 2Connect Google Docs with its own login, not yours. Grant one folder, create and edit only.
  3. 3Paste the prompt where your harness takes instructions. See the note under the Copy button.
  4. 4Do a dry run on old or test data first. Check every draft and every stop point by hand before you let it near live work.
  5. 5Read its log after the first real run. Only widen access once a week of runs looks clean.

  • Customer DM sweep

Checks every place customers message you each morning and flags anything you missed. Stops DMs from sitting for days because they are spread across apps.

  • Review moderation helper

Suggests whether a customer review should stay up, get a warning, be hidden or be reported, using only the text and star rating. A person makes the final call.

  • Support inbox with refund approvals

Handles a support inbox but has to ask before any refund. Built after the agent once refunded a customer on its own.

  • Daily cancellation review

Each morning it looks at every customer who canceled in the last day and works out why. It checks payments, usage and what they did right before canceling.
